J21 Gymnastics Club is committed to protecting your privacy and processing your personal data in accordance with the General Data Protection Regulation (GDPR). We take your privacy seriously and will ensure your personal information is kept secure. 

We provide the opportunity for our members to participate in our activities, which include Pre-School, Recreational classes, Free running, Adult classes, Tumbling, Camps, Competitions, Squads and other similar gymnastics activities. 

We register with British Gymnastics who govern the sport and affiliate with South West Gymnastics.

We need to process information about you and your child for the following reasons:

Contractual purposes 

When you ask us to provide you a service, such as gymnastics classes, competitions, trips or other activities we usually need to use information about you to provide this service, for example, confirm arrangements, notify you of terms and conditions, renew membership, and process payments. 

Legitimate interests

To meet the legitimate aims of the club, and ensure your child is well supported and safe whilst participating in gymnastics. This includes:

  • Responding to communications, concerns or complaints you may send us. We may contact you to seek your views on the services we provide. 
  • Maintaining attendance registers, waiting lists and contact details if needed in an emergency. 
  • Carrying out relevant risk assessments, some members may present with a risk of harm when participating in gymnastics. It is vital you share any relevant medical information.
  • If you wish to take part in a club competition, your information (usually your name, date of birth and gender) will be used to enter you into the appropriate category and your score will be recorded. If you wish to enter a competition organised by another gymnastics body, including British Gymnastics, Regional and County Gymnastics Associations we will provide your information to the organiser to enable you to take part in the competition or event that they are organising.
  • We monitor performance and undertake fitness assessments, we track and monitor a gymnasts performance in training and competitions. We may require additional information about lifestyle and education if you or your child are/is training at an elite level and requires time out of school or lifestyle.
  • Filming or taking photos for coaching purposes and/or to promote the club on our website, club social media accounts and communications. All films and photos will be published in line with our safeguarding policy. If we are filming or taking photos for any other purpose, we will ask for your consent.

You have the right to object to any of the above uses of information by contacting us. Please note that in some cases this may affect our ability to carry out the things we need to do for you and for your child to take part in gymnastics. 

Legal Obligations

We have a duty of care to ensure it is safe for you or your child to take part in gymnastics activity and to keep you/them safe while participating. This includes but not limited to the use of your information relating to legal claims and compliance and regulatory activities. 

Information Sharing

We will not share your information with any other organisations except with your consent or in exceptional/emergency circumstances where we believe that the sharing of information about you is vita to protect you, your child or another person. 

If your child is to enter competitions provided by external organisations, we will, with your consent share the information required to enter the event. At large events, it is also likely to be photographers and people filming. 

We have a legitimate interest in sharing your personal information with British Gymnastics to ensure the sport is safe and well-governed and where relevant to access support and advice.

Individual Rights

Your have the right to see the personal information we hold about you, you can request access to this information by writing to us. You can also log in to ‘My Account’ at any time to view/amend/delete the information about you that has been collected by the British Gymnastics System. 

If you think that any of the information we hold is inaccurate, you can ask that corrections are made. We will either make the requested amendments or provide an explanation as to why we are not making changes.

If you wish to leave the club, the information you provided on behalf of our club will be archived on the British Gymnastics system for 60 days and will be deleted after this has lapsed. During this period, you can transfer your information to another club.
